Processing Your Information

As a psychologist, I, Trine Pless-Rasmussen, am required by law (Psychologist Act and Regulation on Ordered Records for Psychologists) to collect and process certain personal information about you in connection with your psychological treatment.

This privacy policy describes how I use and, in some cases, disclose your personal information.

Types of Information

I collect and process the following types of personal information about you (as relevant):

General categories of personal information:

  • Name, address, email address (if applicable), phone number, personal ID number, gender, family relationships, social relationships, work relationships and education.

Special categories of personal information (sensitive personal information):

  • Health information

Purpose

I process your personal information for the following purposes:

  • The treatment I provide you
  • Preparation of certificates for use by authorities, insurance companies, etc.
  • Communication with other healthcare professionals, doctors or hospitals
  • Reporting to clinical quality databases
  • Billing purposes
  • Compliance with our obligations under applicable law, including the EU Data Protection Regulation, Data Protection Act and other relevant health laws, e.g.:
    • Documentation requirements
    • Compliance with the basic principles for processing personal information and legal basis for processing
    • Implementation and maintenance of technical and organisational security measures, including but not limited to preventing unauthorised access to systems and information, preventing receipt or distribution of malicious code, stopping denial-of-service attacks and damage to computer systems and/or electronic communication systems
    • Investigation of a suspicion or knowledge of security breaches and reporting to individuals and authorities
    • Handling enquiries and complaints from registered individuals and others
    • Handling inspections and enquiries from supervisory authorities
    • Handling disputes with registered individuals and third parties
    • Statistical surveys and scientific research

Voluntariness

When I collect personal information directly from you, you provide the information voluntarily. You are not obliged to provide this information to me. The consequence of not providing the information is that I cannot fulfil the purposes stated hereinabove, including that I will not be able to treat you.

Disclosure of Personal Information

To the extent necessary for your specific treatment, your personal information will be disclosed and shared with the following recipients:

  • Information is disclosed to other healthcare professionals if deemed necessary for an ongoing treatment course.
  • Information is disclosed to RKKP (clinical quality databases), the Danish Patient Safety Authority, the Psychological Association and the Danish Labour Market Insurance to the extent required by applicable law.
  • As a patient, you have access to your own information (right of access).
  • In connection with billing for patient treatment, information is disclosed to the regional billing offices.
  • In other cases, and if there is consent, information is disclosed to insurance companies.

The legal basis for collecting, processing and disclosing your personal information is:

  • For general patient treatment, general personal information is collected, processed and disclosed under the Data Protection Regulation Article 6(1)(c) and (d), while sensitive personal information is collected, processed and disclosed under the Data Protection Regulation Article 9(2)(c) and (h).
  • In addition, we are required to process a range of personal information about you for general patient treatment under the Psychologist Act and the Regulation on Psychologists’ Duty to Keep Ordered Records.
  • Information for billing patient treatment is forwarded once a month to the regional billing office according to the Agreement on Psychological Help of July 2016.
  • Your personal information is only disclosed to insurance companies with your prior consent, under the Data Protection Regulation Article 6(1)(a) and 9(2)(a).

Withdrawal of Consent

If the processing of your personal information is based on consent, you have the right to withdraw the consent. If you withdraw the consent, it does not affect the processing before the withdrawal, including disclosure based on consent.

Retention and Deletion Policy

I retain personal information about you as long as necessary to fulfil the purposes stated hereinabove. However, under the Journal Keeping Regulation § 15, I am required to retain these for a minimum of 5 years after the last entry in the journal. There may be cases where I am forced to retain your personal information for a longer period, such as in connection with a complaint or compensation case, where the information will be retained until the case is finally closed.

Your Rights

You have certain rights, including the right to access personal information, right to have incorrect information corrected, right to have information deleted, right to restrict information, right to data portability and right to object to the processing of personal information, including automated individual decision-making (profiling).

Regarding deletion, this right is modified by the Regulation on Psychologists’ Duty to Keep Ordered Records, which states that there must be no deletions in patient records, only corrections or additions.

You also have the right to complain to a competent supervisory authority, including the Data Protection Agency.

How to Remove or Avoid Cookies

To delete cookies, go to Tools -> Options -> Privacy -> remove individual cookies or clear your history.

To block cookies, go to Tools -> Options -> Privacy -> in the drop-down menu under history, choose “use custom settings for history” -> check “Always use private browsing mode” and untick “Accept cookies from sites”.

Internet Explorer

To delete cookies, go to Tools -> Internet Options -> General tab -> Click the Delete button -> Cookies -> Delete.

To block cookies, go to Tools -> Internet Options -> Privacy -> Slide the slider to the top to block all cookies -> Click OK.

Google Chrome

To delete cookies, click the tools button -> Tools -> Clear browsing data -> Delete cookies and other site data -> Clear browsing data.

To block cookies, click the tools button -> Settings -> Show advanced settings -> Content settings -> Click “Block sites from setting any data” and check “Block third-party cookies and site data” -> OK.

Safari

To delete cookies, click the tools button -> Preferences -> Security -> Click the “Show cookies” button. Here, you can either delete cookies from a single domain or remove all cookies.

To block cookies, click the tools button -> Preferences -> Security -> Under “Accept cookies” select “Never”.

All Danish websites are required to inform about which cookies are placed on the user’s IT equipment. This information must comply with the “Executive Order on the Requirements for Information and Consent for Storing and Accessing Information on End Users’ Terminal Equipment” (commonly referred to as the Cookie Order).
